Privacy Policy and General Data Protection Regulations (GDPR)

1 –  Introduction

1.1 We are Ambinet Software Ltd. of 50 Midland Street, Birmingham, B9 4DG. We are the data controller of your personal data. This policy sets out how we collect and process your data if you visit our website and/or have any marketing material produced by Ambinet Software Ltd.

2 – Personnel data we hold about you

2.1  We hold personal information you choose to enter on the enquiry form of our website, or in the method you may choose to give us in some other way (such as email, by post or by telephone).  For example: you will be asked to provide personal information when you enquire about any of our bespoke software products by supplying your name and email address details.

2.2  We may also collect personal data that you may give to us about other people if you provide us with their contact details (such as: email, contact name, contact number and address)  You agree that you have notified any other person whose personal information that you have provided to us of this privacy notice and have obtained their consent so that we may lawfully store their personal data in accordance with this policy.

3 – Data we automatically collect

3.1  When you visit our website, you disclose certain details such as your Internal Protocol (IP) address, the time of your visit and the pages you have visited.  This website, like any other website, records this basic information about visitations to our website.

3.2  This information could also include (a) technical information about your device such as the type of device being used, (b) which web browser or operating system is being used; (c) your preferences and settings such as the time zone and language; (d) statistical data about your browsing actions and patterns.

3.3  We also collect this information using cookies, this is in accordance with the Cookie section of this policy and we use the data we collect for analytical and research purposes.

3.4  When designing and producing marketing material, we collect information provided by you for the purpose of producing printed marketing materials and websites.  The information, including photographs and important data, is stored on our secure servers using encryption.

4 – Communications via marketing

4.1  To ensure we keep you informed of our bespoke software products, business marketing and services we will use your personal data you have shared with us to send marketing communications, this may include newsletters, blog posts and emails.

4.2  You may choose, at any time, to exclude yourself from our communications by contacting us on iinfo@ambinetsoftware.com to remove your details and no further marketing information will be sent to you. If we do not receive such notification, we shall continue to send you information about our bespoke software products, business marketing and services.

5 – How we protect your information

5.1  To protect the confidentiality of your personal information, we follow the general data protection guidelines. Our business practices are periodically reviewed for compliance with policies and procedures that govern the security and confidentiality of the personal information we hold.  

5.2  Any information provided by you for the benefit of software, web development or marketing material is stored on our secure servers using encryption.

6 – Processing your personal data lawfully

6.1  We will use your personal data in order to comply with our contractual obligation to provide the support given in connection with our software products and websites, this includes contacting you with any information relating to new products and software updates in relation to the product(s) used by you.  

6.2  We will also use your personal data for our legitimate interests, including dealing with any customer services requirements, including the terms of any agreement between us.  This also includes dealing with any questions, comments or complaints you have in relation to any of our services or products.

7 – Who do we share your data with?

7.1  Access to your information is never provided to any third parties. Your personal information is held for our direct communication, and our business practices limit employee access to this confidential information and the use and disclosure of such information to authorised persons.

7.2  In the event of a software deployment, we may share your personal details with sub-contractor or an external service provider that may be appointed to administer and support certain functions of any of our bespoke software solutions, this will be in accordance with our instructions and your consent.

8 – Cookies

8.1  A cookie is a small text file containing a unique identification number that is transferred from a website to the hard drive of your computer through your web browser. The cookie identifies your browser, visitor preferences, record session information, provide past activity but will not let a website know any personal data information about you, such as your name and/or address.

8.2 We also use Google Analytics to collection information anonymously to generate reports detailing activity such as the pages and number of visits to the website.  Google Analytics places several persistent cookies on your computer’s hard drive which are harmless and do not extract any personal data. If you do not agree to this you can disable cookies in your browser.  This will prevent Google Analytics from logging your site activity.

9 – Security

9.1  We follow GDPR guidelines to protect the confidentiality of your personal data.  All information provided to us is stored on our secure servers and monitored daily with the cyber security measures and firewalls that are in place.  

9.2  We acknowledge that no system can be completely secure, therefore, although we take steps to secure your personal data, we cannot verify that your personal information is and will always remain completely secure.  Any data breach will be notified within 72 hours.

10 – How you can access your information

10.1  You can contact us to request access to all your personal information we have maintained and stored securely by sending us an email to iinfo@ambinetsoftware.com. Upon this request we can correct and/or update any information we hold about you personally.

10.2  To maintain the security of all our clients, you cannot directly access our systems to obtain, export or delete your details.  You can, however, contact us in the method explained in section 10.1.

11 – Consent

11.1  By using our website, you consent to the collection and use of your personal information as described in this policy.  If you do not wish for us to store your date please let us know by sending us an email to info@ambinetsoftware.com

12 – Changes to our privacy policy

12.1  We may change the terms of this policy from time to time.  If our privacy policy changes we will immediately update the changes onto our website immediately.
